Designing charts PowerPoint 2016
We learned many things in the previous post today we will learn about designing charts. though we know where to use the different charts but designing charts is also important. When we insert a chart then you will see two tabs Design Tab and Format Tab. In both of the tabs surely the tools are just for the chart designing. We can design a chart from different angels, for example, coloring the texts in the chart and axes, changing the chart type, selecting the chart style and some other formatting. Probably most of the people’s attention goes on the design of the charts. Click here to learn more about charts and kinds of charts.
The design tab is for designing charts, in this tab, we mostly apply colors and choose the chart style. This tab depends on what kind of chart you will insert for example if you insert a pie chart then the chart style and chart elements will be set according to that chart. Click on the upper link to learn about the chart elements and chart kinds.
In the Design Tab, the first option from the left hand you will see is the chart element list. From here you can add and remove chart axes, categories, gridlines, chart title, and legend. Click on the above link to get info about axes, categories, gridlines and chart title.
Chart elements and Lines
When you click on the Chart elements a list will appear. Some of them I explained in the previous post and there are some more options like lines and trend line. I will explain them now.
Lines: these lines are the extra line that we can place them horizontally on the chart. We have two options, the lines can be short or long. This option is on when you have a line chart.
Trend line: When you want to show increasing or decreasing of something in the column charts or other charts that suits trend line we use trend line. We cannot apply trend line of any of the chart we want, some charts like pie or sunburst don’t suit the trendline.
Quick Layout: Quick layouts are the ready and designed chart styles. When you don’t have much time to design the chart then you can use the Quick layout options. Quick layout design can be the chart elements. For example, in one of the layouts, the Axes title is horizontally and in the other layout we don’t have the Axes title and like this all of the layouts are different.
Change Colors: There is a list of colors while you click on this feature, you can select different colors from there. We have the full colors and monochromatic colors. The full colors are not transparent but the monochromatic colors are transparent.
Chart Styles: We can manage chart style from two places. From the right upper corner of the chart itself and from the Design tab (Chart Tools). Chart style can be chart color, background color and chart elements.
Switch Row/Column: You can manage whether the columns should be the legend and the rows should be the categories or rows should be legend and columns should be categories. You can see this button on when you insert a Column Chart and the button will work while you are in editing mode. You can see on the upper picture that salt sugar and flour are the legends but in the following picture January,February,March, and April are the legend.
Edit Data: You can edit the data from here. There are two options 1. You can edit the data in PowerPoint but you will get a small spreadsheet to edit. 2. A completely new Excel window will open you can edit it better.
Change Chart Type: We can change or replace the chart with another chart for example if you have a column chart and you want the data to be displayed on pie chart then click on the Change chart option to change the chart to pie chart. When you click on the Change chart Option a list of charts will appear and the one you click on will be replaced with the chart.
Besides the Design Tab, we have a format tab for chart style management. In the format tab, we can select every single part of the chart and design or format them individually. If you double click on any elements of the chart on the right-hand side a new panel will appear, you can manage the colors, color transparency, and other options from that panel. We can format the texts and the axes or numbers.
Selection list: In the left side of the Format Tab we have a selection list. From here we can select any of the chart areas like the legend, axes, chart title and chart area. It depends on the chart that how many parts does the chart has. When you select any of the chart elements you can use from the options that exist in the Format Tab. For example, if you select the chart title you can use word art and lots of formatting.
Format Selection: As I told before when you select any of the chart element a new panel will appear on the right-hand side. from where we can edit the colors or give a border to the shape, after selection, if you click on this option the formatting panel will be open. Now we have many kinds of colors like Solid fill, Gradient fill, picture or texture fill, pattern fill and automatic.
Gradient Fill: We can tell that gradient color is the combination of two or more colors that we can apply to a single thing. You can manage the gradient position, the color positions, color directions and color transparency. What is transparency? Transparency is the option that will manage how much the color should be visible/sharp or invisible/soft.
Picture or Texture fill: We can add a picture in the background of the chart or we can use a textured background. Well, the picture is somehow amazing and interesting for the audience because it catches the eyes of the audience. What is texture fill? The texture fill is like the tiles, almost all of the texture colors has shapes, for example, fish pictures, wood shape and more.
Pattern fill: Mostly if we look at the pattern fill we will see lots of dots, squares, and lines because of this person call it pattern fill. We can select the foreground and background colors.
Automatic: At first when we insert a chart the layout that it has is the automatic fill. The automatic manage everything in the chart, for example, automatic fill manage the chart border, object outline, and the chart fills itself. Automatic is better when you want to create a simple chart.
Insert shapes and styles
We can insert shape and textbox from the Format Tab and edit them for formatting the chart. for example, we can use the arrow shape that which of the month sale is the biggest. You can use it in the business case scenarios and in many other cases.

In the format tab, we have a group for shape style. This group is not only for the shapes that we insert, we can use this group for the chart elements because the chart elements are also shapes. By the way, the chart itself is a shape. From this group, we can do some interesting formatting to the chart and its elements.
Whenever we select a shape or any part of the chart at the first of this group a list of styles will appear that you can select. the second option in this group is the Shape Fill. When we choose a chart element then you can change the fill or the color. Remember we can color the object gradient, picture, and texture.
The third option is the Shape Outline, this will create a border outside of the shape or object that you have selected. We can select the width of the border and the border style, for example, the border color is green and the border width is 3pt.
The fourth option in this group is the Shape Effects, as we have learned much about this list in the previous posts but I will shortly introduce it. From here we can apply effects like shadow, 3D rotation, bevel, glow, and shadow. There is one thing that some options might not work with every kind of a chart.
Of course, we use text in our chart and texts also has a role in designing charts. In the Format Tab, we have a group by the name of WordArt Styles. You can edit only texts and this group doesn’t work with shapes and other objects like picture or tables.
Selecting outline color and the fill are the actions that we can apply to the texts. There is one important option, the text effect. The text effects are the same with the shape effects.
Arrange and Size
The second last group in Format Tab is the Arrange group, from here we can send backward and bring forward the chart, we can align the chart to different places like center, bottom, right, left and other. We can group and ungroup if we have two charts.
We have a selection panel in which all of the objects are listed you can hide and unhide them.
Size: Another useful option is the size. The last group in the Format Tab is Size group we can manage the size of the object.
